Introduction

This Privacy Notice explains the types of personal data Wallets Marts Castle Douglas Limited, Wallets Rural Property Services and Galloway Primestock collect as well as how we’ll handle it, store it and keep it safe. We are a firm of Auctioneers, Valuers and Estate Agents.

We assist our customers to sell and purchase livestock and we process personal data in order to provide that service to customers who are individuals and businesses. We also provide rural property services and process personal data to provide those services.

This notice also tells our customers and suppliers about their rights in relation to their personal data.

We hope the following sections will answer any questions you have but if not, please do get in touch with us.

It’s likely that we’ll need to update this Privacy Notice from time to time. We’ll notify you of any significant changes, but you’re welcome to come back and check it whenever you wish.

 

Who we are?

Wallets Marts Castle Douglas Limited, Wallets Rural Property Services and Galloway Primestock are a group of companies who work closely together and share the systems required to process personal data and keep it safe. In this notice these three entities will be referred to as ‘we’ ‘our’ or ‘us’.

We are a member of the Institute of Auctioneers and Appraisers in Scotland.

What personal data do we process?

We will collect, store and use information about:

  • our staff;
  • prospective employees;
  • our board of directors;
  • our shareholders;
  • our customers and their employees; and
  • our suppliers and their employees.

A separate notice is made available to our employees, prospective employees and our board of directors.

 

Why do we process this personal data?

We use the personal data of our individual customers, the employees of our corporate customers and the employees of our suppliers to run our businesses.

We have a legitimate interest to process this information in order to keep doing business. This data will generally be corporate contact details. Sometimes we will process the personal data of individual customers in order to deliver a service to them whether as auctioneers or to manage property.

We also use contact details to send marketing information about our services from time to time but you will always have the option of telling us not to contact you in this way. If you do not wish to receive this information please let us know using the contact details above.

For individuals who have not engaged our services, we will on occasion rely on consent to send information to you. You can withdraw consent at any time by unsubscribing or letting us know using the contact details above.

 

Who we share your personal data with

We have to process financial information to deliver our services but this service is delivered to us by Clydesdale Bank who are compliant with the PCI DSS security arrangements.

We publish information about our sales online and send this out to our customers. This may contain information which could identify an individual. We also share information with media organisations and in particular local newspapers, Scottish Farmers and the Farmers Guardian. Again this will not contain any personal data but individuals could be identified from this information. If you have any concerns about this please contact us using the above contact details.

We pass information to the Institute for Auctioneers and Appraisers about our livestock sales but this will not generally include any personal data.

 

Data Retention

We will hold transactional data about you for seven years after the transaction as is required by HMRC. We will also hold contact details for the same length of time.

We will hold your contact details for as long as we are providing your organisation with our services, or you are providing us with services. If we no longer have this relationship with you we will delete your data within two years as part of an annual data cleanse.

 

Security

Our IT systems are in house and secure. We are a small company but we recognise that we hold and use personal data and we have taken appropriate technical and organisational measures to ensure that as far as possible it remains secure in our systems and when transferred out of our systems. We receive IT support from a third party but our data is held in house.

 

Cookies

The internet pages of http://www.walletsmarts.co.uk/ and https://www.wallets-rps.co.uk use cookies. Cookies are small text files that are sent by web servers and stored on visitor’s computers so they can be read back at a later date. This is a convenient way of allowing a computer to remember specific information relating to a web site and provide a better user experience.

 

Your Rights

You have rights in relation to your personal data and can make a request to Wallets Marts. As a data subject, you have a number of rights in relation to your personal data.
